Fall 2025 Travel Tournament Reimbursement

** Due to the university financial state which led to a decrease in ASUA funding for clubs, club funding is now limited. We have been in-eligible for ClubSports funding due to the >10% non-student members who play during club hours. Our requirements are based off ASUA and ClubSports funding rules set by the university.


To be eligible for reimbursement (all information is validated by Dean of Students through ASUA):

  • Must be a current University of Arizona undergraduate/graduate student in good standing at the time of tournament.
  • Must be a current University of Arizona Badminton Club (UABC) member in good standing. 
  • Must provide an itemized receipt. **Even if approved for reimbursement, we cannot reimburse without an itemized receipt.
  • Must participate in the tournament.

**Tournament no-shows are not reimbursed.

**Tournament must be non-UABC.


Student reimbursement is dependent on current UABC funds. UABC may not be able to cover all costs. If an estimate of allocated funds is needed by you to decide whether or not you will participate in the tournament, select the option in the google form and send uazbadminton@gmail.com an email. THE EARLIER THE FORM IS SUBMITTED THE MORE LIKELY YOU WILL BE APPROVED FOR REIMBURSEMENT.

FAQ

Who is eligible for reimbursement?

You must be a current undergraduate/graduate student enrolled at the University of Arizona at the time of tournament date who is in good standing with the university. You must also be a member of the University of Arizona Badminton Club (UABC) who is in good standing with the club. This information gets checked by Dean of Students by ASUA and UA ClubSports.

Where do these funds come from?

The funds are primarily from ASUA. The funds also come from membership dues (membership dues collected from students go back into the students while membership dues collected from non-students (faculty/staff/Tucson locals) make up for the funds we are become ineligible for from UA ClubSports for UABC allowing non-students to play during club hours on our reserved courts). We are a non-profit organization.

Are there limits on where I can travel to for tournaments? Limits on how much I can request for reimbursement?

No limits on where you can travel to. Reimbursement is solely based off of current UABC funds.

What is eligible for reimbursement specifically?

Tournament entry fee (including additional charges such as a processing fee)

Transportation (flights, bus, train, motor pool) **GAS IS NOT ELIGIBLE per university policy

Room (hotel, airbnb) ONLY NIGHTS ALIGNED WITH TOURNAMENT DATES are accounted for in the reimbursement

NO food, personal costs/activities/parking, etc are eligible.

What can UABC do for tournament related support in addition to this reimbursement process?

UA Motor Pool: Car rental through the university (request must be made 1 month in advance to travel date and must have a certified driver). Check out details on the UA Motor Pool website. If this is something you are interested in, please talk to Treasurer Anish as he can coordinate the vehicle request, pickup/dropoff, and budget UABC funds to cover the cost.

Group Bookings: UABC is not responsible for the coordination of travel tournaments. However, we can support by connecting club members to other club members interested in the same tournament. In the past, UABC travelled in groups or a group (depending on number of participants) and did group bookings for hotels/airbnb and carpooling so feel free to ask.

Can only students go?

Tournament eligibility is defined by the tournament host. Most tournaments are open so anyone can sign up. Students and non-students can travel together. Only University of Arizona students are eligible for reimbursement.

When do I get reimbursed?

Reimbursement happens after the tournament (we verify if you participated). Reimbursement can be sent via Zelle or CashApp or Cash.
